Developing Communication Materials

Preparation

Report brief and other sharing materials are prepared. The brief writer writes a 1-2 page report (not including visuals), with Key Takeaways and summary of the report. These Key Takeaways and summary should be written to be understood by readers outside of education and academia, however key takeaways and recommendations will not stray from what researchers concluded in their official report.

  • As such, additional materials (e.g. slide presentations, newsletter summaries) will not require a formal review from school partners, but stakeholders should be consulted if questions or concerns about framing arise. 

  • Key takeaways should materialize out of the three (or more) formal interactions the brief writer and lead researcher(s) have had at this point. 

  • A practitioner and/or another member of the Knowledge Engagement Committee should also weigh in on key takeaways as they offer a different perspective on the findings.

  • Final materials shall be shared with the SRPC Project Manager. If the materials are meant to be shared publicly at any point, they must also be approved by the Advisory Council co-chairs.

Review & Response

  1. Report is peer reviewed and finalized. 

  2. Relevant school partners are given an advance copy of the research report. 

    • During this Review & Response period, the school partners have 30 calendar days to review the brief and technical report.

    • Changes by partners will be limited to factual errors and student privacy concerns. School partners will not be allowed to edit or request changes to researcher’s conclusions or recommendations.

  3. School partners are invited to write a response that will be included with the final report.

    • If multiple school partners are involved or are the subject of the research report, they can write a joint response or separate ones.

    • Responses should be about 500 words in length, but can be shorter or longer.

    • Responses can include topics such as why they find the research topic important, what they will do with the information, or what their takeaways are. 

    • If school partners write a response to the research report, this will be included in the full report, technical reports, and summarized in the public brief.

  4. School partners may request an extension to their response time of up to two weeks to complete factual review and response writing.

    • School partners should try to adhere to the initial 30 day window.

    • The initial 30 days response window will not include major school breaks, such as the Christmas holiday, but will include periods when classes are not in session but staff are expected to work, such as summer recess.

  5. If school partners do not submit factual corrections, privacy concerns, a written response, or request for extension within 30 days, the SRPC may move forward with releasing the report at its discretion.

    • Over the 30 days, SRPC staff should maintain frequent communication with school staff, ensuring the report has been received, answer question, and remind school staff of deadlines

    • The SRPC can delay research report publication or give school partners additional extensions to complete review and response at its discretion.
